I don’t see the PredictionHealth logo when I login to my EMR.

If you’ve already installed Sidekick, and still aren't able to log in, there are still a few troubleshooting steps to try:

  1. Ensure that you have enabled the Chrome extensionIf the extension is enabled you will see the PredictionHealth logo inside your EMR when you first login

  2. Remove and then re-install the Chrome extension


Help, I can’t login to Sidekick Realtime!

There may be several reasons you cannot login to Sidekick. 

  1. If you are setting up Sidekick access for the first time, please refer to our support website or email ptsupport@predictionhealth.com

  2. Ensure that you are using the correct login credentials

  • When you login to your EMR you will use your unique EMR credentials

  • Once you login to your EMR you will see the PredictionHealth logo, click on this to login with your PredictionHealth credentials:
             

  • NB: Please be aware that if you are using a password manager you will need to ensure that it is not attempting to input your EMR credentials into the PredictionHealth login!


How do I enable a microphone in Google Chrome?

  1. Navigate to the three dots in the top right corner of your chrome browser and click on the vertical ellipse

  1. Click on “Settings”

  1. Click on “Privacy and security”

  1. Click on “Site Settings”

  1. Click on “Microphone”

  1. Select your Microphone. Ensure that the setting for “sites can ask to use your microphone” is enabled

How do I enable Sidekick audio permissions?

When you first install the Sidekick Chrome extension or when you first start an audio recording you may be prompted to enable microphone access. Please click yes to enable this. If you are unable to record audio try the following steps:


  1. Click on the Chrome extensions puzzle piece in the upper right corner of the browser

  1. From the ensuing drop down menu, select the ellipses next to PredictionHealth and click on “View Web Permissions”

  1. Ensure that the dropdown next to “microphone” is set to “Allow”


Can I leave my note and come back to it?

If you are recording in a note and have stopped the recording you can then exit the note and find your suggestions when you return at a later time. Each recording is linked to a specific patient. Because of this, you have to be clicked into the patient visit for it to record appropriately. This also makes it possible to record audio for one visit, exit the note, and then return to the note at a later time and find the recording. You can even return to the note on a different computer that is logged into your chrome profile (and has the extension enabled)! Sometimes, when you leave the note and come back to it you will have to follow the steps outlined below to re-find your audio suggestions.


Why can’t I see my audio suggestions?

If you’ve recorded a note and you can’t find your audio suggestions try the following steps:

  1. Click the "Reprocess Audio" button:
  2. Refresh your browser page
  3. If refreshing doesn’t work, simply start the auto-note recording mode, let it run for a few seconds, then stop it and it will reprocess the audio and your suggestions will re-appear!
  4. If all else fails, please contact ptsupport@predictionhealth.com for further assistance!


What if my computer falls asleep?

If your computer falls asleep or if you are otherwise disconnected from the internet in the middle of a recording there is a high probability that you will lose your note! Even if this happens, it is merited to attempt to start and stop the auto-note recording again (as outlined above) to see if any of it can be recaptured if your computer falls asleep. We recommend that you go into your computer setting and disable its sleep/standby functions. Please be aware that some laptops have a different setting for this whether you are connected to a power adapter or if you are running on battery power. Disable to sleep function for both modes. It is also good practice to keep a power adapter handy so that you do not risk running out of battery mid-recording. 


How often do I need to login to the Chrome extension?

For security reasons the Sidekick Chrome extension will typically log a user out after a week’s time. It’s good practice to open the Chrome extension at the start of the day to ensure that you are logged in and ready to go when your first patient walks in the door. Pro tip: in a similar vein, your computer’s performance can be affected if you do not occasionally shut it down. We recommend restarting your computer on a weekly basis to optimize performance.


Does Sidekick Speak Different Languages?

Yes! Sidekick has the ability to understand over 20 different languages. If you speak to Sidekick in one of its supported languages it will translate it to English for the populated suggestions inside of your note.

*We have successfully tested the above languages but it is possible that Sidekick is capable of understanding even more than what is on this list. If you encounter a language that is not on this list we encourage you to try it and see if the AI can interpret it!


I’ve captured audio in my note but I want to delete what was captured and start over, can I do that?

Yes, it is possible to clear your audio dictation results. Please keep in mind that if you clear your results they will not be available to you again for use in the future, this is effectively starting the note over from scratch! To do this, once your audio results have populated, click on the ellipse in the upper right hand corner of the chatbot and then click on “Clear Results”. We recommend using this option sparingly.


What is an “Audio Hour”

An "Audio Hour" refers to the total amount of recorded audio time. This could include shorter segments of recordings from many different patients. For example, if you dictate notes after a daily visit, this might only last 30-45 seconds. During an initial evaluation, instead of recording the entire 60-minute session, you might only capture the first 10-15 minutes of discussion. Thus, an Audio Hour consists of these cumulative segments that add up to a full hour. 


Why is there a limit in the number of hours?

We process our audio recordings using the highest quality Large Language Models (LLM). There is a cost associated with running data through a LLM. Accordingly, we have a couple of options for the number of recording hours and pricing to go along with it. 


How is the audio stored?

Audio files are securely stored in Amazon Web Services (AWS) and are encrypted in transit. All protected health information (PHI) is maintained in the AWS cloud environment with an established BAA. PHI is stored in accordance with HIPAA policies and guidelines. 


Do I need to get the patient’s permission to record?

States with two-party consent laws are California, Connecticut, Florida, Illinois, Maryland, Massachusetts, Michigan, Montana, Nevada, New Hampshire, Pennsylvania, and Washington. In these states you do want to get permission. For a sample consent form, please reach out to ptsupport@predictionhealth.com. If you have further questions about your state’s requirements, we recommend contacting your lawyer to understand this more fully for your state.


How do you handle data updates, such as name changes or exclusion or non-billable providers? 

Name Changes: If a provider undergoes a name change (e.g., due to marriage), we can merge the duplicate provider records to ensure consistency.

Exclusion of Non-Billable Providers: We also handle requests to exclude certain providers, such as students or part-timers, from billing if they fall under a specific visit threshold. If your practice includes student therapists, their data will also be tracked in the platform. Many of our clients find this helpful as they use this as a way to objectively measure how a student is performing in their documentation and coding and if they want to offer them a position at their clinic. Some clients prefer to exclude student data from billing and reporting. If this is your preference, you must provide a list of students each month to be excluded from invoicing.
