Suggested Utilization


There is so much valuable information in our platform and there are many ways to use the insights to drive value in your organization. Through designing our platform and working with our clients, we have developed a few suggested workflows that will help get the most out of the platform.


Best Practice: Suggested Utilization of Practice Intel


With Every Data Refresh:

  • Review General practice Metrics compared to previous month and last year at this time
    • Number of visits per company, per clinic, and per provider
    • Units/visit, direct units/visit, minutes/visit, direct minutes/visit to make sure your therapists are reaching their productivity goals/billing appropriately for the time spent with their patients.
  • Overview of the Compliance Audit Score for clinics and individual providers.
  • Review billing metrics - Distribution percentage
    • Ensure your therapists have the CPT code distribution that you expect with the proper diversification of codes. 
      • Ex: Use of higher paying codes such as 97530 and 97112 vs lower paying codes of 97110 and 97140
  • Ensure note sign off of all documentation
    • Communicate with staff that have outstanding notes to be signed. This is important to make sure your practice is beginning the billing cycle as quickly as possible.


Monthly/Quarterly:

  • Monthly General Practice Metrics compared to previous month and last year at this time
  • Overview of Compliance Audit Score for clinics/providers
    • Get an overview of how therapists are doing compared to the previous month/quarter. Look at each provider’s Note Audit Score over time - either in the Audit Score tab or in the Focused Snapshots
  • Review Coding metrics and distribution percentage
    • Continue to ensure your therapists have the CPT code distribution that you expect
  • Review coding metrics related to specific insurance contracts for your company (if desired) in the Payer Diversity Tab
  • Review Focused Snapshots which will include an overview of each individual therapist’s metrics
  • Ensure note sign off of all documentation at the end of the month to close month
  • Ensure proper targeted Visits/Episode of Care is being reached by each therapist - remember this data is the most valuable when looking at a large data range, so include current and previous 6-12 months’ data in order to get the total picture.


Yearly:

  • Review all metrics in previous category but for the year
  • Use these yearly metrics to help determine budget and planning for growth for the upcoming year. Compare current year’s data to previous year(s).


Performance Reviews


Practice Intel can be utilized to gather objective data for performance reviews with use of the dashboard and the Focused Snapshot:

  • Comparison of General Practice Metrics over time and compared to the company goals and their personal goals
  • Compliance Score
    • Average Note Audit Score
    • Note Audit Score for each Note Type
    • Changes in their Areas for Improvement by comparing to previous month’s data in the Focused Snapshot
    • Rate of copy forward, under documentation and over documentation
  • CPT Code Diversification - are they meeting standards of company and their goals
  • Visits/Episode of Care - are they meeting standards of company and their goals
    • Which Diagnosis codes do they struggle with more
    • Help to plan individual Con-ed budget for the upcoming year based on which diagnoses they seem to have difficulty maintaining patients through the episode of care.
